Job Description

Description

In District Facilities Office, relieves superior of routine administrative duties, makes recommendations regarding program activities, researches & analyzes materials, information & programs, provides technical information & advice to administrators to aid in decision making, processes orders & receiving tickets for equipment & material purchases; reviews same in order to identify discrepancies & ensure accuracy; certifies final data. Uses personal computer & related software (e.g., Enterprise Information Management System (EIMS)) to perform data entry.

Manages business functions for Facilities office (e.g., processes credit cards, generates copies of documents & other related duties). Uses personal computer & related software (e.g., Microsoft Excel, Word, & Access, ODOT Overtime Roster Application, & Appropriation Accounting System (APS) to maintain records. Maintains District Facilities web pages & records & prepares reports related to the S2 security/camera system. Receives quotes from facilities-related service & supply providers. Requests & completes purchase orders & modifications. Orders supplies & monitors inventory of same.

Responds to facilities related inquiries from internal customers &/or the general public via telephone or email (i.e., Microsoft Outlook). If applicable, documents & reports District Wastewater data via Environmental Protection Agency (EPA) required procedures for District Waste Water Treatment Plant Coordinator. Performs miscellaneous duties as assigned by supervisor.

 

Qualifications

Completion of associate core coursework in secretarial science or business office applications from accredited career school or community college.

-Or 18 mos. exp. or 18 mos. trg. in secretarial/administrative professional field.

-Or 6 mos. exp. as Administrative Professional 1, 16871.

-Or equivalent of Minimum Class Qualifications For Employment noted above.
 Knowledge of English grammar & composition; arithmetic that includes addition, subtraction, multiplication & division; records management; business communications; administrative practices & procedures*; general office practices & procedures; agency-specific office practices & procedures*; budgeting*; government structure & process*. Skill in keyboarding; business office software applications (e.g., Microsoft Office); operation of personal computer & office machines (e.g., transcribing equipment, calculators). Ability to deal with problems involving several variables within familiar context; apply principles to solve practical, everyday problems; interpret instructions in written or oral form; write routine business letters following standard procedures; compose directives, memos & other publications; complete routine forms or records; make appointments; arrange items in numerical or alphabetical order; move fingers easily to perform manual functions; assess questions & provide appropriate information or referral.

This position is overtime eligible based on FLSA standards.

 

Unless required by the union contract, external candidates can expect to be paid at the lowest rate of the salary range associated with this position.  If this position is filled internally, the wage rate will be determined in accordance with the union contract.
